I understand that when you share any details with me, I must look after this information. I am committed to keeping your information safe and secure. I respect the General Data Protection Regulation and data protection laws and this Privacy Notice tells you how I am complying with these. I need to tell you what I am collecting, why and what I am using your information (your personal data) for.

So who am I?

I am required to tell you who is the ‘Controller’ of the personal data and all other information collected. The Controller is Helen Deakin Communications, and you can contact me at helen@hdeakin.com.

What do I collect about you and why?

I create effective communications strategies and provide an experienced pair of hands to deliver or advise on your projects. To enable me to do this I will need to collect your contact details. This will be when you visit my website and complete the Contact Me form where I collect your name and email address or when you call me.

I will ask you to subscribe to receive any newsletters from Helen Deakin Communications. . When you subscribe, I will need to collect your name and email address. I promise that I will not use these details to directly market my services to you.

Of course, when we work together, I will need to collect a few more details from you including your name, contact details, organisation name and address for invoicing purposes. You may provide limited information in any contracts we agree.

What allows me to collect this (or the lawful basis)?

Providing your name and email address on my website form or when booking a call with me is with your consent. When you subscribe to my newsletter, this is also with consent. Unless we have agreed a project or piece of work, you can tell me you no longer wish to me to contact you or you wish to ‘unsubscribe’ at any time by emailing me at helen@hdeakin.com

If we are working together, I have a legitimate interest in collecting a little more information as I cannot operate my business or invoice without these details. I also have a legal obligation to keep certain financial information for HMRC.

Any contracts agreed between us will require me to collect certain information including personal data. The lawful basis for this is to manage and monitor the contracts.

Storing and keeping your information.  

Keeping your information safe and secure is important to me. All of the devices I use are protected and have passwords or passcodes.

Wherever possible I will store your information in the UK, however, some service providers that provide software that I use, may use storage facilities elsewhere including the USA and countries outside the EEA. I will ensure that contracts and licences are in place for any service providers I use, and that I have undertaken checks on contract clauses.

In general, I will keep your information for the length of time required by law, for example financial records must be kept for six years, otherwise it will be kept for 12 months after we stop working together. If you have consented to allow me to use your information for contacting you, it will be kept until you inform me that you no longer wish to receive these. When I no longer need to keep your information, I will ensure that I take the necessary steps to dispose of it securely.

Will I share your information?

I do need to share my accounts information with my appointed accountant, and they will have restricted, secure access to this information. Otherwise I will not share your information with anyone unless I am required to do so by law, or to comply with a Court Order.

Your rights

You have a number of rights linked to your information and specifically your personal data. You can ask to see the personal information that I hold about you (known as a Subject Access Request) or ask me to correct it or delete it. Nowadays, you are not required to pay a fee for exercising your rights. If you ask me for a copy of your information I have up to one month to respond to you. My website, like many websites, does collect some details about your IP Address (your device’s electronic address) and my website or some of the products I use may place a cookie (a small text file) on your device to collect some information about your use of the sites and online services.

For my website, the cookies are those that are essential to the site working and for limited analytics to ensure my website is performing.
